What is a virtual event?

A virtual event brings audiences together in an online environment to achieve a specific set of goals. Attendees participate entirely online using a mobile, tablet, PC or laptop, with presenters either joining remotely too or speaking from a studio setting. This could be an actual studio or a space that is set up to operate as a studio – for example a client’s office or company boardroom.

A virtual event could include a conference, awards ceremony, summit, meeting, product launch, workshop, training academy, celebration or a live shopping experience.

Virtual events can differ in the level of production values from a very simple concept to something that is closer to a TV broadcast. Most of our virtual event management teams have a TV production background to ensure you’re in the best hands.

We always recommend that virtual events are as interactive as possible to recreate the in-room experience. Going beyond submitted questions, we recommend live polling and Q&A, featuring video-submitted questions and live virtual questions.  This helps bring the virtual audience closer to the presenters.

Virtual events play a vital role in business communications, forming a key element of any good corporate events strategy. Advanced virtual event tech means participants can interact with each other and play an active role during events, while hosts can monitor which type of content performs best and also improve communication with attendees before and after an event.

Making it Work

Live events can often be daunting for both presenters and organisers but virtual events can seem even more challenging – this doesn’t have to be the case.

At Virtuopo, we have plans and procedures in place, which are designed to massively reduce the risk of unexpected issues. We always have a plan B, and usually C, to hand just in case.

Preparation

As part of the planning process for every project, our virtual event management team outlines the specification and identifies any potential challenges that could arise so that contingency plans can be put into place. This could include anything from ensuring that everything has a battery back-up to providing a back-up internet connection.

We also tech check every remote presenter, testing internet connections and setting up well in advance of our virtual events.

On the Day

We always recommend a cue to cue in advance so that everyone knows the running order and when to un-mute to begin presenting.

To take the pressure off clients, our event management team will provide everything from producers, camera ops, vision mixer and even someone to greet and manage your remote guests.
