Virtual Events

At Virtuopo, we live and breathe virtual events. Whether we’re tasked with organising a livestream shopping event, a global conference or a virtual product launch, it’s our mission to make sure the experience is memorable for all the right reasons.

Once considered a niche marketing trend, virtual events sky rocketed during the global pandemic as businesses and organisations were forced to pivot their events online pretty much overnight. Far from being a quick fix, virtual events have evolved into an essential tool for business communication.

Our senior team has been at the forefront of the industry for many years, bringing both technical expertise and heaps of creativity to client events. Virtuopo specialises in broadcast quality virtual conferences and events, providing an experienced crew to make sure everything runs smoothly and is delivered to the highest standards.

We work with a wide range of clients, spanning just about every sector from automotive, fashion and retail to sport, travel and professional services. Offering end-to-end event management and strategic planning expertise, we deliver everything from creative concepts and content development to set design and attendee management, right through to technical delivery.

Each and every member of our team is passionate about virtual events and we make it our business to stay on top of the latest industry trends and event tech to make sure our online experiences are exceptional.

What is a virtual event?

A virtual event brings audiences together in an online environment to achieve a specific set of goals. Attendees participate entirely online using a mobile, tablet, PC or laptop, with presenters either joining remotely too or speaking from a studio setting. This could be an actual studio or a space that is set up to operate as a studio – for example a client’s office or company boardroom.

A virtual event could include a conference, awards ceremony, summit, meeting, product launch, workshop, training academy, celebration or a live shopping experience.

Virtual events can differ in the level of production values from a very simple concept to something that is closer to a TV broadcast. Most of our virtual event management teams have a TV production background to ensure you’re in the best hands.

We always recommend that virtual events are as interactive as possible to recreate the in-room experience. Going beyond submitted questions, we recommend live polling and Q&A, featuring video-submitted questions and live virtual questions.  This helps bring the virtual audience closer to the presenters.

Virtual events play a vital role in business communications, forming a key element of any good corporate events strategy. Advanced virtual event tech means participants can interact with each other and play an active role during events, while hosts can monitor which type of content performs best and also improve communication with attendees before and after an event.

There are many advantages to hosting an event in a virtual format, as opposed to at a physical venue. Firstly, virtual events offer greater flexibility and convenience for both speakers and attendees, eliminating the time and money wasted on travelling to a physical location.

The virtual format can also improve accessibility and widen participation, increasing the number of attendees by enabling delegates to attend from anywhere in the world. Reducing the need to travel means businesses and organisations can lower their carbon footprint, making virtual events a better option for the environment too.

Making it Work

Live events can often be daunting for both presenters and organisers but virtual events can seem even more challenging – this doesn’t have to be the case.

At Virtuopo, we have plans and procedures in place, which are designed to massively reduce the risk of unexpected issues. We always have a plan B, and usually C, to hand just in case.

As part of the planning process for every project, our virtual event management team outlines the specification and identifies any potential challenges that could arise so that contingency plans can be put into place. This could include anything from ensuring that everything has a battery back-up to providing a back-up internet connection.

We also tech check every remote presenter, testing internet connections and setting up well in advance of our virtual events.

On the Day

We always recommend a cue to cue in advance so that everyone knows the running order and when to un-mute to begin presenting.

To take the pressure off clients, our event management team will provide everything from producers, camera ops, vision mixer and even someone to greet and manage your remote guests.

Virtuopo have worked with many different clients on virtual conferences, virtual awards and online team meetings. Find out more today.

Amazing Support

“Chris was absolutely amazing in helping us plan and execute our event. He was fabulous from day 1 offering support and advice along the way and then on show days he kept calm and made us all feel at ease and everything ran like clockwork! Thank you.”

A great team with great knowledge

“My agency works very closely with Virtuopo on many virtual and hybrid events (GBG, Convatec, EasyJet, IAG GBS) throughout the year and we couldn’t be happier with the partnership we have. The communication and technical preparation throughout each project is brilliant and leaves all of our clients over the moon and reassured that every project we do together will be a success. They’re a great team with great knowledge.”
